Compensation (Pay): $17.50 to $25.38/hourly, based on experience.

Job Summary: The Patient Accounts Coordinator/Administrative Assistant provides direct executive administrative support to the Vice President of Revenue Cycle and Patient Accounts leadership. As such, the Administrative Assistant is expected to approach their work proactively, have a willingness to work independently and on teams, and must be able to operate well under pressure. Due to the high level administrative and clerical functions associated with this job, a thorough understanding of word processing, spreadsheet manipulation, memorandum development and processing, minute taking, and exceptional interpersonal communication skills are all essential functions of this role. Additionally, it is understood that the Administrative Assistant is expected to maintain the confidentiality of all information, physical and electronic documentation, conversations, etc. obtained or observed in this role.
Essential Duties and Responsibilities
This position handles a wide range of administrative and department supported related tasks, including, but not limited to:
- The ability to maintain a high level of confidentiality regarding organizational, personnel, and executive activities.
- Prioritizes conflicting needs and tasks proactively, expeditiously, and ensures follow through on projects until successful completion, often with even when facing deadline pressures.
- Coordinates, monitors, and communicates appropriately regarding all assigned tasks and projects.
- Conduct phone screens of all Patient Accounts Applicants and follow through the hiring process including interview scheduling, interview set up, and new hire/internal transfer paperwork.
- Coordinates and monitors assigned projects and responsible parties to assure timely completion.
- Coordinates, reviews, and prepares timecards and PTO requests for VP of Revenue Cycle and other PAD leadership as needed.
- Obtains, compiles, and distributes reports to management (to include reoccurring and as requested reports) in a timely and accurate manner.
- Prepare packets as needed for assigned meetings.
- Manages the communications with the Patient Accounts leadership team /department heads while maintaining sensitivity and confidentiality to organizational priorities.
- Performs specific/timely project management activities for and on behalf of the Vice President of Revenue Cycle and PAD Leadership including data and information gathering, data analysis, and uses independent judgement to create/alter special reports for said VP/Leader needs, either monthly, quarterly, and on an ad hoc basis.
- Provides direct administrative support services to the meetings as assigned, including minute preparation, agenda packet compilation, report preparation, scheduling and management of submittals as needed to achieve compliance with the organization’s related functions and obligations.
- Prepares meeting agendas, attends, and take minutes at various meetings as assigned.
- Track’s agenda and important items across multiple groups to ensure reoccurring or returning items when appropriate, or prior items can otherwise be answered/explained in more detail.
- Interacts with staff in a fast-paced environment with specific deadlines remaining flexible, proactive, resourceful, and efficient.
- Provides other support and assistance as necessary to increase office efficiency and productivity.
- Relay’s information and messages in a timely fashion to ensure open channels of communication between the Patient Accounts leadership and direct reports.
- Ability to understand basic financial management, ordering, and budgetary considerations.
- Creates and submits Purchase Requests (PR) on behalf of PAD leadership.
- Demonstrates knowledge of and adherence to the Compliance Plan and conflict of interest requirements.
- Enhances the effectiveness; efficiency and productivity of the department by contributing to, and participating in, departmental performance improves goals.

Education/Experience:
Education: High school diploma or equivalent education.
Work Experience: 1 year of administrative assistant experience required. Working in a healthcare setting preferred.
Computer Skills: Intermediate - ability to access the intra/internet to manage timecard, review policies and procedures, and read company communications; use e-mail to communicate with co-workers, leadership, and other departments; use and create a variety of templates, complex tables, merges; manage table data, sort and filter merges, and also perform basic work with existing Macros; customize toolbars, import and insert graphs, embed Excel data, and elaborate reports; work with multiple worksheets, filter data, use integrate functions, and manipulate databases; customize templates and the PowerPoint environment, and to make a presentation interactive by using hyperlinks and action buttons
