Compensation (Pay): $19.78 to $28.68 hourly/based on experience.

Job Summary:

The Philanthropy Coordinator reports to and provides direct support to the Senior Director of Philanthropy; supporting the efforts and activities that lead to increased and ongoing contributed support. The Philanthropy Coordinator will focus on stewardship and donor relationships through the excellent deployment of limited resources, thoughtful organization, and effective communication.  The position works closely with Peak Vista staff and volunteers, including fundraising leadership volunteers.

Essential Duties and Responsibilities include the following:  Other duties may be assigned.

  • Ensures that giving to Peak Vista Community Health Centers (PVCHC) is a positive experience through prompt and accurate gift acknowledgement and stewardship delivery.
  • Plan, initiate, prepare, and distribute correspondence with staff, volunteers, and donors, maintain follow-up, and coordinate internal projects.
  • Administer database for annual and capital gifts as well as planned giving, including entry of gifts, acknowledgment, reporting, invoicing pledges, reconciliation with Finance, and analysis of trends.
  • Support PVCHC Foundation board members through clear communication, meeting scheduling and set up, and dissemination of materials and packets.
  • Strategic and thorough record administration and file management to ensure data accuracy and consistency, operational efficiency and aid in annual reporting and audit preparation.
  • Implement established stewardship processes, donor recognition systems, and tracking of contacts to ensure all PVCHC donors feel appreciated, needed, and known.
  • Support annual giving efforts in collaboration with the Marketing and Communications team by assisting with campaign timeline and planning, material development, and progress monitoring.
  • Work with the Marketing and Communications team to ensure that all emails and Online Web forms contain messages and imagery that are cohesive and impactful.
  • Administer special gift forms such as state Contribution Tax Credit forms, donations, reconciliation, and certification.
  • Collect impact data, including personal stories and testimonials, to show return on philanthropic investment with current funders and prospects.
  • Provide support as directed for Philanthropy Department events, which include the Breakfast of Champions launch, VIP reception and the Breakfast itself, among others.
  • Help with calendar management, printing, and similar administrative tasks for the Senior Director of Philanthropy.
  • Support meeting prep as needed to include invitation, room set up, refreshments, IT equipment and room clean-up.
  • Greet meeting stakeholders with positive personality.
  • Other duties as assigned.

Exceptional attention to detail, particularly in written communications.  Ability to quickly adapt to, plan for, prioritize, and manage multiple tasks in a fast-paced setting and exercise strong organizational skills.  Strong interpersonal and communication skills (written and verbal) with internal and external audiences.  Strong problem solving and decision-making skills.  Strong time management skills; must be able to meet deadlines.  Must possess the ability to prioritize work and coordinate work efficiently and respond quickly to changing priorities.

Education/Experience: 

Education: High School diploma or GED required. Bachelor’s degree or equivalent experience in a related field preferred.

Work Experience:  Three years of administrative experience required. Nonprofit experience highly desired; Fundraising/philanthropy experience preferred.

Language Ability: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills: To perform this job successfully, an individual should have knowledge of Word Processing software; MS Office (Word, Excel and Outlook), Spreadsheet software, Internet software; and CRM software programs. A working of knowledge of DonorPerfect preferred.
