Job Summary (Essential Functions)
Provides executive administrative support and manages the day-to- day administrative coordination of PVCHC's executive offices. Direct support to the President & CEO of PVCHC with indirect supervision of Executive Assistants. Provides direct support to the PVCHC Board of Directors and supports the executive level management of the organization as the liaison to the Executive Offices, with a goal of maintaining open lines of communication and efficiency through day-to-day work flow coordination and support.

Handles correspondence, scheduling of appointments, and Executive and Board travel, as necessary. Attends and documents Board and Board Committee meetings. Oversees all purchase requisitions on behalf of the Executive Offices and monitors and prepares monthly budget variance reports to meet company standards. Ensures the submission of PTO for Executive level staff. Attends monthly Leadership team meetings on behalf of the Executive office and shares required training and other important communications with other support staff as needed. Provides other day-to-day support as needs arise. Coordinates the interviewing and training of other executive assistant positions and provides input to Chief’s for executive assistant’s performance reviews. Performs other duties as assigned.

Supervision Exercised: Executive Office volunteers and indirect supervision of Executive Assistants.


Qualifications
Education: High School graduate, GED or equivalent in work experience required. BS or Associate's degree preferred, or equivalent experience.

Work Experience: Minimum of 5 years executive level support.

Cognitive Skills (Language, Math, Writing and Reasoning): High language, reasoning, intuitive writing and critical thinking skills are a must. Also, problem solving and excellent customer service skills.

Computer Skills: Advanced-level Experience with Word, Access, Excel, Microsoft Outlook , Acrobat Pro, PowerPoint and working knowledge of Sharepoint. Keyboarding skills - accuracy to a minimum of 65 words per minute.

Other Skills: Well developed multiple project management; training, meeting minutes expertise, and experience in travel arrangement management.

Certificates & Licenses: Notary preferred, Must have valid driver’s license and vehicle for business purposes.


Physical Demands
Frequent standing and walking, occasional long periods of sitting, moderate bending, moderate energy requirements, and frequent fine motor skills. Looking at computer screen continuously for long periods of time, hearing within normal range. Must be able to lift 20 pounds.
