Job Summary (Essential Functions)

The Clinical Operations Coordinator manages the day-to-day administrative functions for the Chief Nursing Officer while providing as needed support to the Vice Presidents of Clinical Operations and Medical Services.
 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Provides as needed admin support to the VPs of Clinical Operations and VPs of Medical Services regarding ad hoc requests for meeting minutes and /or other administrative support functions, tasks and other administrative support functions.
  • Cross-trained to support the other Clinical Operations Coordinators and Assistants as needed.
  • Monitors and assists with patient advocacy to assure patient complaints/needs are followed up on.
  • Supports the Clinical Operations team in coordinating trainings, meetings, project requests, any travel/training needs.
  • Supports the recruiting process for Clinical Operations staff by conducting phone screens and scheduling interviews and participates in hiring staff and makes recommendations/suggestions as to employment status.
  • Employee demonstrates knowledge of and adherence to the Compliance Plan and conflict of interest requirements.  The employee enhances the effectiveness; efficiency and productivity of the department by contributing to, and participating in, departmental performance improve goals
  • Assists the team in assuring completion of Peak Vista's quality, hospitality and performance improvement goals.
  • Assists Leadership with patient advocacy issues focusing on customer service, patient satisfaction/complaints and provider productivity.
  • Supports facility safety initiatives, physical section maintenance & maintains regulatory standards for professional appearance.
  • Closely monitors and manages financial administrative supplies for both VP and Executive teams.
  • Serves as liaison and at times lead communicator between administration and clinic staff.
  • Diligently assists leadership by processing in having reports rand &/or extrapolating data from reports regarding the patient no-show process.
  • Participates in PI/QI activities utilizing FOCUS/PDSA & AAHC benchmarking.
  • Serves as a community coordinator; responsible for reaching out, scheduling and communicating various needs to community partners & other business associates.
  • Assists in maintaining/updating the Clinical Operations & Senior Clinical Leadership dashboard.
  • Responsible for maintaining and updating the Share Point site for the department.
  • Maintain open line of communication as liaison and lead communicator between CTMs, Directors, RNs, Clinics and Administration and all other internal departments and external customers as necessary.
  • Oversees the Compassionate Care grant process to assure that the loop is closed, money is being allocated in collaboration with Finance, and patients are connected with services as needed.
  • Orders supplies for the Clinical Operations Department & arranges catering as needed.
  • Monitors attendance, timecards, and time off requests.
  • Actively serves as celebration champion by scheduling/coordinating events

Qualifications

Education: High School Diploma or GED equivalency. Associates Degree in Medical Administrative preferred.

Work Experience: 2 years of administrative clinical experience required with Ambulatory Care/Primary Care setting experience preferred.  Bilingual preferred.


Computer Skills: Advanced level experience with Word, Access,  Excel, Microsoft Outlook, Powerpoint, and working knowledge of Share Point, Keyboarding Skills - accuracy to a minimum of 65 WPM.

Other Skills: Ability to flourish independently and in a team management system.  Sensitivity to low income, ethnic and other minority communities.  Excellent organizational, listening, de-escalation,, tracking and documentation skills required.   Excellent attendance required.  Bilingual (Spanish) preferred.

Certificates & Licenses:Any healthcare certificate or license preferred. 


Physical Demands

Long periods of standing, moving, and sitting, frequent bending and fine motor skills.  Hearing within normal range for telephone use.  Must be able to get from one clinic site to related locations.  Looking at computer screen continuously for long periods of time.  Must be able to support/lift 50 pounds.
