Job Summary (Essential Functions)

The Clinical Operations Assistant provides administrative support and manages the day-to-day administrative coordination of Peak Vista's clinical operations leadership by performing the following duties:

  • Direct support to the Vice President of Clinical Operations
  • Provide support as needed to the Director(s) of Clinical Operations and the Director of Nursing.
  • Work with team in coordinating training, CTM meetings, nurse meetings and special projects for the clinical operations department
  • Maintain clinic policies and procedures
  • Orders supplies as needed
  • Attend CTM meeting and may attend other meetings as assigned as a recorder
  • Assist VP of Clinical Operations with patient complaints as needed
  • Maintain open line of communication between CTM's, RN's, Clinics, and Administration and all other internal departments and external customers as necessary
  • Employee demonstrates knowledge of and adherence to the Compliance Plan and conflict of interest requirements.  The employee enhances the effectiveness; efficiency and productivity of the department by contributing to, and participating in, departmental performance improve goals.
  • Other duties may be assigned.
Ability to manage multiple projects.  Ability to work with a diverse patient population.  Ability to plan, facilitate meetings.  Must be able to discreetly work with and maintain highly confidential information.  Must be well-organized, driven and able to work in a fast-paced quick turn-around environment.  Should have working knowledge of how to organize an event, and coordinate with internal and external contact to make certain all operations coming out of the clinical operations department runs smoothly, efficiently and professionally.  Proficient and intuitive writing skills.  Bi-lingual desirable.


Qualifications

Education: High school graduate, GED equivalency.  Associates preferred in Medical Assisting or Medical Administration.

Work Experience:  Minimum of 2 yrs of clinical experience required and ambulatory care/primary care setting experience preferred.

Language Ability:  Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

Math Ability:  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:  To perform this job successfully, an individual should have knowledge of Work Processing software; spreadsheet software and Internet software.


Physical Demands

The employee must occasionally lift and/or move up to 50 pounds.  While performing the duties of this job, the employee is regularly required to sit.  The employee is occasionally required to stand and walk.
